Reserve Guidelines for Faculty

Electronic Reserve - General Information

Electronic Reserves allows you to place course related material on the WWW making it accessible 24 hours a day, 7 days a week. Students may access material from home, dorm rooms, computer labs, the library, or anywhere there is an Internet connection. Please read on for guidelines concerning what types of material you may place on Electronic Reserves, processing time, available formats, and guidelines concerning copyright and electronically transmitted material. If you already have course material on the WWW please send the URL to eres@usd.edu so we may centralize all of the available course material and create an easier access point for students.

Electronic Reserve - Additional Considerations

In accordance with copyright guidelines, E-Reserve documents are password protected and are available only to USD students, faculty, and staff using their e-mail username and password.

Traditional Course Reserve - General Information

Traditional course reserve remains available for materials that cannot be delivered to students through Electronic Reserve. These materials are made available for check-out at the Circulation/Reserve desk. Faculty members select the most appropriate loan period for their reserve materials.

ID Weeks Library accepts material from faculty with the understanding that the faculty member has complied with the requirements of the copyright law. All materials submitted must be accompanied by the signed copyright compliance statement that is included on the Request Form. This statement affirms that copied reserve materials meet fair use guidelines or that the copyright holder has given permission to reproduce the material.

Copyrighted reserve materials will be withdrawn at the end of each semester unless documentation of advance copyright permission from the copyright holder has been obtained and is on file at the ID Weeks Library Circulation/Reserve department.

If the course is taught at both the graduate and undergraduate level, or is cross-listed between departments, please list both course numbers. The course name should be entered on the request form as it appears in the USD class schedule for the appropriate semester.

If the material is to be removed from the Reserves area before the end of the semester, be sure to include the date of removal.

Reserves staff will retrieve items owned by ID Weeks Library. Simply fill out the Library Owned Items Request Form and click "Submit." Please be sure to include complete citations. Please indicate how many copies of the item you would like on reserve. If possible, include the library's call number to facilitate retrieval. It is important that you include your phone number and e-mail address so that we can get in touch with you if we have questions.

To place your personally owned items on reserve, please print and complete the Personal Items Request Form. Then bring the items along with the form to the Circulation Desk. You can also send the form and accompanying items to the Circulation Desk via Exchange Mail. Address your package to Diane Leja or Reserve Desk. (Because the items must be received along with the form, it is not possible to submit this particular form electronically.) Please describe the item as it appears on your syllabus (For example: Sample Midterm Exam). This will make it easier for both students and staff to locate the correct item.

A Request Form should be submitted at least 48 hours prior to the time an assignment is announced to the students. The period of time required for processing a reserve list varies according to the volume of reserve requests, availability of materials, and delays in retrieving books on loan. Please keep in mind that processing delays increase during the beginning of each semester when incoming volume is high. Lists will be processed in the order in which they are received. Lists should be limited to required readings. Suggested or recommended reading lists and/or resource materials are used infrequently. Students benefit more from direct loan of suggested readings from the general collection for the regular 4 week loan period.

Materials are processed during weekdays only. Staff is not available for processing nights or weekends.
