General Research Inquiries

Because the Museum has experienced an ever-increasing demand for its research services, beyond its ability to respond, we cannot answer telephone, email, or postal inquiries other than those submitted by Museum Members.

In addition, the Museum does not provide appraisal services, insurance evaluations, or speculations about the current market values of musical instruments or related materials. Links to appraisal organizations can be found on the Museum's Frequently Asked Questions page.

The Museum staff recommends that researchers consult the Museum's Frequently Asked Questions and Links web pages, as well as the following sources, as starting points for conducting your own research.

  • Names, addresses, and product information for current musical instrument manufacturers can be found in The Purchaser's Guide to the Music Industries (Englewood, NJ: The Music Trades Corp.). For further information, visit the Music Trades website.

  • Information and statistics about the modern musical instrument industry can be found at the National Association of Music Merchants and Music Trades websites.

  • To research musical instrument collections world-wide, consult either the Museum's links to Collections of Musical Instruments or The International Directory of Musical Instrument Collections website.

  • The Galpin Society website contains details of many scholarly articles and books about the history of musical instruments.

  • The American Musical Instrument Society website lists articles published in its scholarly journal about musical instruments.

  • If you have questions about the care, maintenance, and/or restoration of vintage or antique musical instruments, the following book is recommended: Robert L. Barclay, editor, The Care of Historic Musical Instruments (Ottawa, Ontario: Canadian Conservation Institute, 1997). This book is available for purchase (about 35 Canadian dollars) from: Extension Services, Canadian Conservation Institute, 1030 Innes Road, Ottawa, Ontario K1A 0M5, Canada. This book includes articles by seven contributors representing a wide range of specializations in the care and preservation of historic musical instruments. Thorough and in-depth guidance is provided on the many aspects and demands of managing the retirement from active service of antique and vintage musical instruments, whether they are in the possession of individuals, private collectors, or museums. Details of the resources, advice, and support available to the owners of such collectibles are also included.

Inquiries about the Museum's Collections and Archives

The Museum staff will answer specific questions submitted by Museum Members. However, before contacting the Museum, please consult the Museum's website for checklists and other detailed information concerning the collections and archives. The Museum may, at its discretion, charge a fee for extensive or complicated research requests.

All requests for information must include the Museum Member's name and postal address. Inquiries submitted without this information can not be answered.

The Museum does not accept requests for information by telephone.

Scholarly and Technical Research

The National Music Museum encourages the use of its collections, archives, and resources for scholarly pursuits. Individuals who wish to utilize the Museum's resources for substantial research projects funded by grant funds, whether those funds are provided by their own institution, a private foundation, a governmental unit, or whatever, must make provision in their grant proposal for reimbursing the Museum for its contribution of staff time and other resources.

The Museum will not make research appointments solely on the basis of a telephone conversation. See the Museum's Access Guidelines for further details.

Graduate Study and Research

The Department of Music at The University of South Dakota offers the M.M. degree with a concentration in the history of musical instruments (a terminal, professional degree offered nowhere else in the country), music performance, and music literature. Within these concentrations, students can emphasize historically informed performance, scholarship, or both. Programs of study are tailored to meet student needs and interests. The M.M. degree with a concentration in the history of musical instruments is a research-driven thesis program, in which students can focus on interests ranging from conservation to cataloging, yet students who want to perform are encouraged to do so, as well.

Graduate students already enrolled in graduate programs at other institutions who want to utilize the specialized resources and staff expertise available at the University of South Dakota are invited to enroll as a special student for an academic year, a semester, or a summer session.

Students who wish to utilize the Museum's resources and staff expertise for substantial research (presentations, theses, and dissertations) must first consult with the Museum staff to discuss the relationship of their project to the Museum's collections and archives, as well as to determine staff availability for consultation and supervision. Students must also register for an appropriate number of hours (a minimum of two semester hours) of MUS 795, Project Seminar (independent studies), during the semester (or summer session) in which the research will be conducted.

The Museum will not make appointments for on-site research solely on the basis of a telephone conversation.

Conditions for Access to Digital Images and the
Reproduction of Music and Archival Materials

Individuals or institutions requesting access to the the reproduction of digital images, music, and archival materials, must agree to the following conditions:

Any research material requested from the National Music Museum must be for personal or educational classroom use only. Such material may not be reproduced in any other format or used for commercial gain without specific written permission of the Museum.

Anyone utilizing the Museum's collections and archives for the accumulation of research information, including the taking or purchase of digital images, must submit a written statement or letter specifying and delineating the purposes for which said information and/or digital images might be used. Consult the Museum's Access Guidelines for further details.

The Museum will reproduce copyrighted archival and library materials for a fee only within the principle of "fair use." The patron shall assume all responsibility in questions regarding copyright of archival and library materials. No more than 50 pages will be copied from a single source.

The Museum reserves the right to refuse to copy materials that might be damaged by the duplicating process. When copying risks damage to the material, the Museum's primary responsibility is to preserve the material for future generations of users.

Music no longer covered by U.S. copyright laws may be copied and used for performance by qualified individuals or organizations on a non-profit basis. When performed, the program notes should clearly indicate that the composition(s) is provided courtesy of the National Music Museum at The University of South Dakota, Vermillion. Two copies of the program must be sent to the Museum Archives. Consult the Museum's Access Guidelines for further information.

Ordering Digital Images

Images may be ordered from the NMM for personal study, educational classroom use, or approved reproduction (see "Images for Reproduction"). If you place an order for an image, please be aware that images may not have been produced for that particular object or may not be available in the format you request. In this event, a staff member will contact you to review new or alternative formats or options.

To order images, please print and complete the Digital Image Order Form (PDF file) and send it via fax or mail to the NMM. The NMM does not accept telephone orders for photographic materials.

Pre-payment is required for all orders. Materials may be purchased for personal study according to the Fee Schedule (please note that additional shipping and handling charges will apply, based on the amount of material ordered). If you order an image for personal study and later want to reproduce it in any manner, you must contact the NMM for permission (see "Images for Reproduction").

Images for Reproduction

Permission for reproduction of images in any medium must be obtained in writing from the National Music Museum no less than eight (8) weeks before you need them. When placing a Request for Permission to Publish Digital Images (PDF file), state fully the intended use of the material requested. Give complete information about your publication, including the title, name of author and publisher (plus complete addresses), print run, distribution, and number of languages in which it will be issued. Requests submitted with missing information may result in delays.

Upon receipt of a request, and its approval, the NMM will send an invoice for any fees due and a Letter of Agreement for the Use of Photographic Reproductions. This agreement must be signed by both the NMM and the user for permission to be granted. Signed forms should be returned to the NMM at least six (6) weeks prior to the date of publication or the date on which permission is needed. Payment in advance is required.

Publication permission for one-time, one language, world-wide distribution is included with payment of the initial fees. Fees for electronic, non-editorial, or multiple uses will be determined on an individual basis. Additional reproduction fees may be charged based on the specifics of your project. Each project is evaluated separately and reproduction fees will be charged accordingly.

The NMM reserves the right to refuse any requests and to impose such conditions as it may deem advisable in the best interest of the NMM.

The NMM grants publication permission only for digital photography obtained directly from the Museum. The NMM does not issue permission for publication of images taken from books, postcards, color prints, 35mm slides, digital photography, the Internet, or any other previously published materials.

For all approved photographic uses, the full credit line must read:   National Music Museum, The University of South Dakota, Vermillion.   The credit line must appear somewhere within the context of the visual representation. Whenever possible, it should be placed adjacent to the illustration. In instances where a detail of a work appears, an acknowledgment to that effect must appear in the caption.

Two copies of any publication in which NMM digital images appear must be sent to the Museum for inclusion in the Museum's library and archives.

The Museum does not do copyright research for archival images. It is the responsibility of the individual researcher to assess the copyright status of a particular image should it be purchased for publication use.

Fee Schedule

Consult the fee schedule below for the Museum's basic charges for photocopying, images, and postage. Send mail or e-mail requests for specific fee assessments. Only a limited number of requests will be honored from any one individual or institution. The Museum reserves the right to determine whether or not its staff can accommodate any particular request.

Pre-payment is required for the services listed below. State and local sales tax (6%) must be paid by South Dakota residents on all items other than those marked with an asterisk (*). Checks accepted only in U.S. dollars ($), drawn on a U.S. bank. Visa and MasterCard also accepted. Please indicate your account number, name, and expiration date for credit card orders.

Membership has its privileges! Museum members receive reduced or waived fees for various services. Consider joining the Museum to receive these and many other benefits of membership.

Digital Images:

  • Search for availability of images, $20.00 per hour, billed in 15-minute increments ($5.00 minimum).
  • One instrument image on a CD-RW @ $25.00 per each different instrument.
  • CD-RW with multiple images of one instrument, $50.00.
  • Custom digital photography, cost plus 20%.
  • Museum Members receive a 10% discount on image orders.

Interlibrary Loan:

  • Books and periodicals from the Museum's specialized research library do not circulate. They can be examined at the Museum and accessed through the University of South Dakota's online catalog. Short excerpts (up to 50 pages) from library materials will be photocopied, at the rates cited above, if a specific title, volume, year, and page reference is provided. The Museum reserves the right to restrict or deny the photocopying of rare and fragile materials.
