Before you begin:

  • Consider printing a copy of the instructions below to reference when in the system. 
  • Important! Check your browser settings to confirm pop-ups are allowed.
  1. Start a new application
  2. Attach a document
  3. Remove attachment
  4. Check application completeness
  5. Submit
  6. Apply your signature
  7. Withdraw
  8. View IRB comments and make revisions
  9. Check review status
  10. View applications or approved protocols
  11. Amendment, continuation or closure request

Start a new application: 

  1. Click on Protocols - Start Here
  2. Click on Create New
  3. Select Human Subjects/IRB and click Next
  4. Enter the study title, take note of the protocol number below, and click Save and Open Document
  5. Select protocol type then click through the tabs to begin answering questions
  6. Save often! Click on Save Options

**Only one person at a time can work on an application. Others can view it in read-only mode (under Save Options select Save and Read Only), open it in read-only mode (using the directions below,) or export it to a PDF (under Save Options select Print to PDF). 

Attach a document (all files types accepted):

  1. Click on Attachments at the top of the page,
  2. Optional: To attach a document to a specific part of the application, click on the associated tab.
  3. Click on Choose File,
  4. Add an optional description, click Add, click Apply to document.

Remove Attachment:

  1. Click on Attachments at the top of the page,
  2. Click on the "Associated Documents" tab,
  3. Right click on the attachment and select "Delete Attachment."

Check application for completeness: 

  1. Click on Save Options at the top of the page and select Validate & Save.
  2. Required questions that haven’t been answered will be listed at the top of the page in red text.

Submit: 

  1. Click on Submit and select Submit for Signatures. Add an optional comment and click Ok.
  2. Once submitted, an application cannot be edited unless the IRB asks for revisions during the review process. 
  3. Click on Submit and select Signatures. Enter your A-Tune password and click Sign.
  4. When your chair or dean has signed, you'll get an email that the application has been submitted for review. Requested revisions, approval notices and renewal reminders will also be sent by email.

Apply Your Signature: 

  1. Login to A-Tune and click on Protocols-Start Here.
  2. Select the protocol you wish to review and click to open it.
  3. If you approve, click on Submit and select Signatures. Add an optional comment and click Ok.
  4. Enter your A-Tune password and click Sign.

Withdraw: 

  1. Click on submit and select Withdraw/Close.
  2. You may type an optional comment and click Ok to withdraw the study from the review process.

View IRB Comments and Make Revisions:

  1. An email will be sent to all researchers on protocol stating the IRB has requested revisions. Click on the provided link to open the protocol in A-Tune.
  2. Click on the Review button. Click on each tab to see IRB questions or concerns for that specific part, or click on the “All” tab to see all of the IRB questions and concerns for the entire protocol.
  3. You may respond by clicking Add Comment or by changing by the text in the relevant tab.To remove attachments so revised documents can be uploaded, see “Remove Attachments."

Check review status:

  1. From the Main Menu, click on Protocols,
  2. Click on the folder you’d like to open,
  3. Locate the protocol and check the “Document Status” column.

View applications or approved protocols:

  1. From the Main Menu, click on Protocols,
  2. Click on the study title for the folder you’d like to open,
  3. Protocols will be listed below. Click on it to open in edit-mode, or right-click for additional options.

Amendment, continuation or closure request:

  1. Click on Submit and select an action, enter an optional comment, and click Ok.
  2. Click on Save Options and select Edit Mode.
  3. There will be a new tab for the study action you selected.
  4. Click on the tab, answer the questions, and upload relevant documents.
  5. Click on Submit and select Submit to IRB.

Troubleshooting

I have revisions to make, but my protocol will not let me edit.

  1. Make sure that your protocol is in Edit Mode.
  2. Hover over Save Options
  3. Click Edit Mode
  4. If issues persist, contact Linda Rupp at humansubjects@usd.edu.

*Remember: Only one person my access the protocol at a time when the protocol is in Edit Mode. If you wish to have multiple people viewing the protocol simultaneously, you need to have the protocol in Save and Read Only.

I revised a document, but I do not know how to delete the old attachment so can upload the new one.

Make sure that your protocol is in Edit Mode. (see above)

  1. Click the Attachments tab at the top of the screen.
  2. Locate the document you want to delete.
  3. Right click on the document title and click Delete.
  4. Upload the revised document.
  5. Click Apply to Document.

I have made the suggested revisions to my protocol, now what?

  1. Make sure to route your protocol back to the review team.
  2. Hover over Submit.
  3. Click Submit to IRB.

How do I check who has signed?

  1. Find the protocol listed on the main page of A-Tune.
  2. Right click on the protocol and select Signatures.
  3. Scroll to the bottom of the pop-up window to see who has signed.

*Remember: Each person listed on the protocol (principle investigator, co-investigators, student investigators, and other investigators) must sign. Additionally, the chair of the department or the dean of the department must sign. However, if the principle investigator is also the chair of the department, then the dean must sign.
