The I. D. Weeks Library circulation department is located on
the main floor of the library. With the exception of some special collection
materials, all items on loan from the Library are checked out at the main floor
circulation desk. The department also provides services such as study rooms,
group study rooms, and book lockers. In order that all students and faculty
have an equal opportunity to access library materials, the library enforces
certain policies and regulations as outlined below.
A valid University of South Dakota ID card is required to check out all library materials. Medical students, law students, and guest borrowers are subject to all I. D. Weeks Library circulation regulations.
1. You are responsible for all books checked out with your ID.
2. You are responsible for knowing when the materials you checked out are due.
3. You are responsible for providing the library with a current address whenever you move.
U.S.D. Faculty, Students and Staff
All U.S.D. affiliated staff must present a valid USD ID card when checking out library materials.
Proxy authorization check-out form - Word version, PDF version
If you are unable to come to the library in person and are sending a representative in your place to check out material in your name, a proxy form must be filled in and presented at the circulation desk. The completed form and the valid USD ID cards of the two people listed on the form must be presented when borrowing library materials. Use of the proxy form insures that an unauthorized person is not making use of your USD ID card.
South Dakota Non-University Borrowers
Residents of South Dakota who are not affiliated with the University must register with the circulation department to obtain a guest borrowers card. The card is valid for 1 year. A current driver's license must be shown as proof of residency.
Guest borrowers may charge out a maximum of 30 items.
Interlibrary library loan privileges are not available to non-university borrowers.
Out of State Residents
Out of state library guests are welcome to use the library facilities and its resources but are limited to in-house use of materials. Interlibrary loan privileges are not available to this group of library patrons.
Best Sellers 28 days, may be renewed if not requested by another patron. Books 28 days, may be renewed if not requested by another patron. Bound Periodicals Can be checked out overnight (3 hours before closing) and are due back two hours after opening the following day. CD's (Music) 14 days, may be renewed if not requested by another patron. CD-ROM Databases May be used for 30 minutes. Current Periodicals Can be checked out for two hours. Can be checked out overnight (2 hours before closing). Government Documents 28 days, may be renewed if not requested by another patron. Maps 28 days, may be renewed if not requested by another patron. Other Media 28 days, may be renewed if not requested by another patron. Pamphlets 28 days, may be renewed if not requested by another patron. Reference Materials Do not circulate except by special authorization from a reference librarian. Videos 3 days, may be renewed if not requested by another patron.
Interlibrary Loans
Loan periods are imposed by the lending library, as are use regulations, such as no renewal, or in-library use only. The I. D. Weeks Library will observe any conditions of use imposed by the lending library.
Faculty Loan Periods
Books have a yearly due date (usually in April). For materials other than books, such as videos and CD's , check the due date slip attached to the item at the time of the loan to ensure that items are returned on time. If library materials are not returned or renewed within six weeks of the due date, a bill for materials will be sent. Unpaid bills, after proper notice, will be submitted to the University Business Office for payroll deduction.
Graduate Student Loan Periods
Graduate students are eligible for a semester loan period for books. The borrower must first register at the circulation desk in order to establish eligibility.
Books may be renewed as long as they have not been requested by another patron. Books can be renewed by bringing them into the library. No over the telephone renewals are allowed, nor will they be made if a patron has outstanding library fines.
Recalled materials are due on the new due date indicated on the recall notice. A borrower will normally be able to have use of the book for a minimum of 28 days. Items needed for reserve (class assigned reading) may be recalled at any time.
A hold can be placed on materials currently in circulation. When the book is returned to the library a notice is generated notifying the patron requesting the book that the item is being held at the circulation desk. The Hld command adds your name to the waiting list for an item already checked out. A current USD ID card with a barcode on the back is necessary for placing holds. Any item checked out to a single patron for more than 28 days can be recalled. Material will be held for you at the circulation desk for one week.
Materials borrowed from the I. D. Weeks Library must be returned to the circulation desk. An outside book drop is located near the west entrance of the library and is available 24 hours a day.
Please report damaged library materials to the circulation desk. Materials that are lost should be reported promptly to the circulation department. You are responsible for repair or replacement costs for damaged library books. Fines are levied for lost, damaged, or overdue library materials. The library will mail an overdue notice shortly after an item is past due. Failure to receive this courtesy notice in no way relieves the borrower of his/her obligation to return the item(s) by the date it is due. You are responsible for knowing when the books you checked out are due.
All lost material will be billed at a cost of $155.00 per item, regardless of material. However, the Library will adjust the price to reflect actual replacement cost, if the item can be replaced. The patron may replace lost material with another new copy of the lost item in the same format, i.e. usually hard cover for a book. USD faculty are also responsible for replacing any lost material that they have checked out.
The I. D. Weeks Library late fee assessment policy promotes compliance with loan periods so other library patrons can use the materials and insures that materials will be returned to the library in good condition.
Fines are levied for overdue and damaged materials. Normally, all material is marked with the date it is due. Some packaged material, such as pamphlets and bound periodicals, have the date due slip attached to the outside of the material.
It is the borrowers responsibility to return materials back to the library on or before the due date.
Fine Policy
Books 10 cents per day for 20 days. On the 21st day the fine is adjusted to $5.00 maximum per item. Bound Periodicals 25 cents per hour plus 50 cents overnight, with a $5.00 maximum per volume. 10 cents per day per item for 20 days. On the 21st day the fine is adjusted to $5.00 maximum per item.
The Reserve Collections are administered through the circulation desk and are located there. The Reserve Collection consists of materials selected by faculty for assigned reading in connection with course work. So that all members of the class may have an opportunity to use the materials, most are restricted to in-library use.
Reserve loan periods are limited to the following four categories:
1. 2 hours use, must be used within the library.
2. 24 hours use, due the following day at the same time that it was checked out. Can be taken out of the library.
3. 3 days use, due three days hence by library closing time. Can be taken out of the library.
4. 1 week use, due 1 week hence by library closing time. Can be removed from the library.
Materials placed on library reserve can be identified by using the library's online catalog, or through use of the reserve binders located near the circulation desk. Each reserve item is identified by a call number which is required for retrieval.
Facilities for small group conferences and short-term study are available on a first come, first serve basis. Keys to four smaller and eight larger group conference rooms can be checked out at the circulation desk.
A limited number of research rooms are available to graduate students for an extended check out period. Because of their size these rooms will only accommodate one to two people.
A limited number of study rooms are available to USD faculty. Inquire at the Library's administrative office for further details.
A limited number of lockers are available for student use in the library. Information on these lockers is available at the Circulation Desk.
No food or beverages are allowed in the building.
The Library needs your help to create an atmosphere which is conducive to study. Since most readers are easily distracted, please show consideration by keeping noise to a minimum.
The book detection security system utilized in the library is designed to reduce our losses of materials, whether through theft or carelessness. To avoid setting off the alarm unit, books, periodicals, and other materials must be checked out properly at the circulation desk before leaving the building.
